CUSTOMER KHATA

Keep customer udhar and payments clear

Keep customer credit, actual payments and person-specific records understandable with a consistent khata routine.

1. Start with the right person

Create or select the correct customer or supplier. Use a recognizable name and check for an existing record before creating another person with a similar name.

Keep only the contact information you need. Avoid sharing one person’s statement with another person who has a similar name.

2. Separate credit from a cash payment

A promise to pay later is not the same as money received today. Use the app’s relevant credit or udhar transaction type for amounts owed, and record actual money received or paid with the appropriate payment method.

Check both the selected book and the selected person before saving. Do not enter the same payment twice just to make a total look correct.

3. Review the history, not only the total

Open the person’s transaction history when a balance needs explaining. Look for the original amount, later payments, dates and notes. Make sure all expected records are available before treating a balance as final.

If you were working across devices or offline, reconnect and review sync status when you need the shared view to catch up.

4. Share a clear statement

Use the available statement-sharing options to send the relevant records. Confirm the recipient, dates and amount before sharing through WhatsApp or another app.

A shared statement should explain a recorded amount without exposing unrelated business or customer information.

5. Keep the next action nearby

Create a follow-up for the payment or bill you need to discuss. Use clear wording so you can understand the next action when you return to it.
