DAILY RECORDS

A simple routine for your daily cashbook

A practical way to record money in and money out, keep useful notes and review a daily cashbook.

1. Give the book a clear purpose

Start with one book for one recognizable activity, such as shop cash. Keep bank records or another business activity separate when that makes your records easier to understand.

Make sure you are in the correct business and book before adding a transaction. A cashbook total describes the records in that book; it should not be confused with the total of every business you manage.

2. Record the actual movement

When cash arrives, record the relevant money-in transaction. When cash leaves, record the relevant money-out transaction. Check the amount, date and payment method before saving.

A customer buying on credit is different from cash being received. Keep udhar records and cash payments distinct, and review the app’s transaction type and person balance before confirming.

3. Leave a note that helps later

A short, specific note is more useful than a description you will not recognize next week. For example, “shop supplies” gives more context than “payment.” Select the appropriate category or person when it applies.

Keep private customer details out of notes unless they are necessary for your business records. Only share statements and reports with their intended recipients.

4. Review the day before you finish

Look through the day’s transactions and check the payment methods and amounts. If your example book started at zero, money received of Rs 6,200 and money paid of Rs 1,800 would leave recorded net cash movement of Rs 4,400.

This example does not include an opening balance or outstanding credit. A cashbook balance is not automatically a profit calculation or a tax statement.

5. Share the right period

Choose the book, dates and available filters before exporting a PDF or CSV report. Read the report’s coverage information and confirm that it contains the records you intended to share.

Keep a separate copy of important exported records in a location you control. Reconnect to sync saved changes when you finish working offline.
